Shipping from/to Overseas

Since 2024A term, users are required to submit the Air Waybill and Invoice before returning shipments overseas in order to ensure proper export procedures of Japan Customs and the security export control under Japan’s Foreign Exchange and Foreign Trade Act.
At sending return shipment, please click here and submit them via email.

Samples, equipment and other cargo for experiments can be sent to the Users Office.

(1) Shipping Notice Mail, Invoice Submission

  1. Invoice and Packing List
    • If the contents and quantity are not clear (e.g., only “research reagents”), import customs clearance will not be possible and the shipment will not be delivered.
    • For Dry Shippers, please be sure to describe the contents. If not listed, import customs clearance will not be possible.
       
  2. ATA Carnet
    • Use of ATA Carnet for experimental instruments is strongly recommended.(What is ATA Carnet?)
      If not used, they may not be able to clear import customs in Japan unless you pay customs duties and consumption taxes. In addition, when returning them, there is a risk that export customs clearance will not be possible unless permission is obtained from the Japanese Government office due to security export control and other regulations.
    • For ATA Carnet, consulting with a forwarder (customs broker) is recommended. (For examples of forwarders, please contact Users Office.)

(2) Submission of Air Waybill and Invoice for return shipment (at sending return shipment)

Please note that users are required to arrange their shipment by themselves (e.g., preparing the Air Waybill and invoice, and contacting a shipping company).
Since 2024A term, users are required to submit the Air Waybill and Invoice before returning shipments overseas. Please submit via the link below.
If there is no return shipment, please let us know.

  1. At sending return shipment from SPring-8/SACLA, please click here and submit the following documents via email
    • Air Waybill for return shipment (pdf or photo jpg etc.)
    • Invoice for return shipment (and packing list, if any)
       
  2. Shipper’s address
    • Name of the user (PI, etc.), Name of beamline, c/o SPring-8/SACLA Users Office, JASRI

  3. Air Waybill for return shipment
    • Please make sure that your Shipper’s Account Number is correct.
    • If there is an error, the package will be returned due to outstanding of payment. Any additional charges and non-deliveries are the responsibility of the users and JASRI is not responsible for any of them.
       
  4. Invoice (Packing List) for return shipment
    • If the contents and quantity are not clear, export customs clearance will not be possible and the shipment will not be delivered.
       
  5. Export-related laws and regulations to be confirmed by customs: Please refer to the website of the Japanese government.

(3) Import-controlled products, samples and chemicals with safety review comments at the time of adoption: submit SDS, etc. (specified date or up to one month in advance: by email)

  1. Substances containing toluene and acetone
    • Substances containing toluene and acetone are classified as Narcotic and Psychotropic Raw Materials in Japan and cannot be cleared for import in principle (Narcotics and Psychotropics Control Act).
    • Please procure them in Japan (toluene soaked samples also fall under this category).
       
  2. Import-controlled products such as poisonous and deleterious substances
  3. Frequent cases of import customs clearance troubles
    • Narcotic and Psychotropic Raw Materials (toluene, acetone, etc.)
    • Poisonous and deleterious substances (All cases: Import confirmation certificate required)
    • Plant Protection Act (Seeds, Soil, etc.)
    • Act on Domestic Animal Infectious Diseases Control (animal tissue: glow, etc.)
       
  4. Please contact the JASRI Safety Office(safety@spring8.or.jp) at least one month in advance, as there are other applicable substances.
    • In case that a safety review comment regarding samples or reagents is attached,
      Please respond to the comments (e.g. submitting an SDS or a response) by the specified date. Please note that many of these are import-restricted substances.
    • Samples and reagents that were not described in the proposal application or whose details were not clear
      There is a possibility of import-controlled substances. Please contact the Safety Office (safety@spring8.or.jp) at least one month in advance.
       
  5. Import-controled laws and regulations to be confirmed by customs: Please refer to the websites of Japanese government offices.
    • If you are unsure about the regulations, consulting with a forwarder (customs broker) is recommended. (For examples of forwarders, please contact Users Office.)

(4)Others

Notes (applicable to both domestic and overseas deliveries)

  • JASRI is not liable for any delivery problems. Users are responsible for all costs associated with delivery.
  • Packages can only be delivered care of the User Administration Division during office hours (weekdays, 9:00-17:00). On weekend and night time is not available to be delivered, so please pay attention to send the items in advance.
  • You can pick up the items even on weekend and night time at the User Administration Division.
  • A cart is available to transport the items from the User Administration Division to the experimental station.
  • JASRI is not liable for any loss or damage to packages. Note that the User Administration Division has no special preservation equipment (e.g., cool storage).
  • On the mailing label, provide the receiver’s cell phone number where the receiver can be reached at all times.
  • Do not send expensive, bulky, or heavy items, or confidential documents to the User Administration Division. Such packages must be sent to and received by receivers directly with prior coordinate with courier.
  • For return shipment:
    Please note that users are required to arrange their shipment by themselves (e.g., preparing the shipping label/the Air Waybill and invoice, and contacting a shipping company).
