Pre-Experiment Procedures for Project Leaders

【Q】Can I take someone with me who is not registered as a project team member at the time of proposal application?

【A】Yes, but only if you add the member to the list of project team members (Log in to My Page > Before Arrival > Change Project Team Members) and submit online the Application for SPring-8 Facilities (Log in to My Page > Before Arrival > Application for SP8 Facilities) at least 10 days before arrival.

【Q】How can I add project team members?

【A】First, make sure that the members have agreed to participate in the experiment and completed user registration. Then, add them to the list of project team members
(Log in to My Page > Before Arrival > Change Project Team Members). Please inform them of the proposal number so they will be prepared to give us the number at the time of arrival.

【Q】Is it possible for students to carry out experiments all by themselves?

【A】No. Students are not allowed to conduct experiments unsupervised. Even in case of budding researchers support proposals, where PhD students can be project leaders, their advisor is required to be present at the experiments.

【Q】Can I conduct experiments alone?

【A】No. For your safety, do not work alone. Please work in a group of two or more. Permission may be granted for automatic measurements and to those who agree to take great care not to overwork (e.g. not working alone at night).

【Q】How can I invite a visitor to observe my experiment?

【A】Please arrange site access for visitors. To request site access, please contact the Users Office at uoffice@spring8.or.jp at least two days before the requested visit date.
Please note that:
– visitors must be attended by a registered SPring-8 radiation worker,
– visits should be brief and be made only during office hours, and
– visitors are not allowed to do hands-on work.

【Q】How can I make changes to my “Application Form for SPring-8 Facilities” after it has been submitted?

A submitted “Application Form for SPring-8 Facilities” cannot be changed online. If you wish to change the information you presented, first update the list of project team members (log in to My Page > Change Project Team Members), and then email the changes to the Users Office at uoffice@spring8.or.jp as early as possible.

The submitted “Application Form for SPring-8 Facilities” cannot be changed online. If you wish to change the information you presented, first update the list of project team members (log in to My Page > Change Project Team Members), and then email the changes to your contract beamline office as early as possible.

【Q】My non-proprietary grant-aided proposal has been approved for beamtime. How can I request a quote for the beamtime fee?

【A】As a general rule, we do not issue a quotation. Please click here to check the fees.

【Q】How can I bring the samples that were not described on the application form to SPring-8?

【A】All samples are subject to safety review. Therefore, changes to your “List of Samples, Reagents, etc.” made just before your visit may not be accepted due to lack of time for reviewing such changes. Particular attention should be given to high-pressure gas because the submission deadline for an application is 30 days before the beginning of each cycle to meet a deadline set by the competent authority.
In principle, all samples should be described on the beamtime application form. Please consider your samples before submitting the application.

【Q】How do I register as a radiation worker of SPring-8/SACLA?

【A】Registration as a radiation worker will be completed at the first visit of each fiscal year if you have submitted the Radiation Worker Application Form (SPring-8/SACLA user) by post ten days prior to starting radiation work and taken the radiation safety training course via the e-learning system.

【Q】How will I know if the SPring-8/SACLA Users Office has received my Radiation Worker Application Form?

【A】You can confirm whether the Office has received your application on My Page (login required).

【Q】How can I visit SPring-8 for the purpose of experimental setup, preliminary discussions, and data analyses before/after the experiment?

【A】First, contact the BL Scientist to schedule your visit.

If you wish to enter the radiologically controlled area during the visit, download an Application Form for SPring-8 Facilities (Form 10), fill out and submit it to the Users Office via email at uoffice@spring8.or.jp or by post at least 10 days before your visit. (UI site > SPring-8 Guide > Arrival/Experiment > Required Documents > Other Required Documents > Category: Visits for Experimental Setup)
When you creating a Form 10, please enter purpose of visit in a remarks column.
Please note that this Form 10 is different from the one that you submit online before your experiment. Also note that a Radiation Worker Application Form (For External User / Supplier) is also required. (UI site > SPring-8 Guide > Arrival/Experiment > Required Documents > Documents Required of Both Project Leader and Project Team Members)
